Job description

The primary purpose of the role is to support the Project Manager in all aspects of Tier 2 and Tier 3 types of project handling and ensure full compliance with all Emerson Trade Compliance and Ethical Business policies and procedures. As a project administrator you will work closely with the Project Managers and Project Engineer to have the commercial and technical review of the orders done and understand customer’s requirements.

In This Role, Your Responsibilities Will Be :

  • Ensure full compliance with all Emerson Trade Compliance and Ethical Business policies and procedures
  • Execute Tier 2 & 3 Projects and apply PMO project execution methodology to all projects
  • Take part in the internal project Kick Off Meetings and progress report meetings – face to face or via conference calls
  • Take part in the Customer Kick Off Meetings – face to face or via conference calls
  • Work with the Project Manager and Project Engineer to have the commercial and technical review of the orders done and understand customer’s requirements
  • Support the documentation requirement identification process
  • Complete PMO checklist and other forms for projects
  • Ensure the on-time and complete entering of the orders in the ERP system
  • Manage order changes and coordinate this with the Project Manager, Project Engineer and / or factory
  • Validate lead time with support from the manufacturing execution coordinator or planning team
  • Support with purchase of buy outs and monitor supplier progress
  • Monitor progress of orders, provide updates as needed to Project Managers and / order Customers, and assist with any escalations to factory
  • Work with Documentation team to ensure that project documentation is ready on time so that milestone payments are met
  • Take responsibility over inspection planning, create and send out Notification of Inspection to Customer
  • Generate Order Acknowledgements, Invoices and Credit Notes, Bank Guarantees, custom clearance documents such as Shipping Notes, Proforma Invoices and Packing lists, Inspection Release Notes etc.
  • Ensure invoicing is up to date against agreed project milestones
  • Trace the order to make sure proper delivery was made according to specific Incoterms.
  • Plan for special transportation and ask for packing quotes from supplier where needed
  • Weekly check of backlog report and maintaining ERP system updated (Oracle, Teams, CRM)
  • Administer customer orders in Oracle and requests for address setup in CVDH (Customer Vendor Data Hub)
  • Requests setup of special items or updates on existing items in the system
  • Archive documents on MS Teams per PMO requirements and ensure information is up to date on all projects
  • Performing on Jr. project management tasks and partially replace the Project Manager in its duties (if required)
  • Handle independently simple orders from order receipt until close out, including all communication with Customer (email / phone)

For This Role, You Will Need :

  • University degree or equivalent and 2-3 years of relevant professional working experience
  • Languages : English - Advanced and Italian – Advanced
  • Acceptance of flexible working time, including 10-15% potential overtime (when needed)
  • Good knowledge about contractual and commercial aspects of projects would be an advantage
  • Proficient PC office applications. MS Word / Excel etc.
  • Availability for potential business travels
