MED Sales East

MED East is a business area responsible for selling, projecting, installing and maintaining wind turbines in Southern Europe and Central Asia. With our presence and established experience in MED East, we aim to be the high-growth business area in Vestas. More importantly, we intend to make Vestas MED East the most attractive workplace. Together, these goals will ensure that Vestas remains the energy industry's global partner on sustainable energy solutions.

Responsibilities

General admin duties :

  • Visitor and System Management : visitors, visitor system-Proxy click
  • Office Supplies and Inventory : maintain an inventory of office supplies (coffee, water, stationery, etc.)
  • Filing and Document Management : maintained organized and secure records of important documents, including contracts, invoices, documents for office services vendors and expats' benefit cars / hours
  • Mail and Correspondence : handled incoming and outgoing mail, packages, and email correspondence efficiently
  • Company Coming Call
  • Locker / individual cabinet / keys management
  • Business card
  • Vendor Management : performance review, further negotiation and supporting Procurement / Legal team
  • Visit in person Registration office : Corporate registration certification, business registration, Certificate of use of seal (once a month)

Corporate seal

  • Biz Travel Support : Invitation letter, Contract rate, Air fare / Hotels / cars
  • Employee telecom Management in coordination with IT and P&C
  • Support GM with meetings, travel, expense
  • Sales department support responsibilities :

  • Managing a high level of communication with internal and external contacts, including staff and management
  • Oversee and coordinate with MED East sales and Marketing & Communication department the strategy and attendance to MED East conferences to ensure best return on investment
  • Coordinate and plan with key stakeholders - development plans, trainings and commercial / sales workshops for MED East sales team
  • Lead and coordinate VIP meetings required during the sales stage, including Vestas VIP visits to MED East
  • Attend and lead weekly meetings, as necessary, and take MoM
  • Answering phones, scheduling and setting up conference calls, meetings, copying, printing, compiling documents, and distributing agendas and itineraries
  • Screening incoming correspondence and managing responses effectively when suitable
  • Facility management support responsibilities :

  • Maintenance and Repairs : contact point of daily maintenance
  • Security - Access Control : attendance report and access card and system management
  • Info Screen Editor : manage info screens
  • Building BMO Communication : all tasks relevant to BMO (Parking, facility, reception in the Office building)
  • Office Assets Management
  • Financial and budget responsibilities :

  • OPEX budgeting & Expense Tracking : budget planning and responsible for tracking office expenses and ensuring they stay within budget
  • Payment and Invoices Management : make PR / PO and process invoices, additional support to HSE, P&C, region holiday / insurance (monthly + POs)
  • Qualifications

  • Graduate degree in any discipline
  • A minimum of 5 to 7 years of work experience in a similar domain of work
  • Competencies

  • Solid stakeholder management skills
  • High degree of structure
  • A sense of cultural awareness and sensitivity
  • Fully fluent in Romanian and English, one additional language such as Russian, Croatian or Bulgarian is a plus
  • Proficient in MS Office - specific to MS Excel, MS PowerPoint, Word
  • Clear and effective communication skills in both oral and written forms
