Job Description
The RFP Specialist will serve as our internal expert for all RFP, RFI, vendor questionnaire, and procurement documentation. You will manage end-to-end RFP responses, build a scalable content library, ensure accuracy across technical / security / legal sections, and coordinate with internal stakeholders (Sales, Product, Engineering, Security, Finance, Legal, and Customer Success).
This role sits at the intersection of Sales, Engineering and Legal / Compliance and reports to our Chief of Staff - helping Stadium respond efficiently to large opportunities and improve our overall win rate.
Stadium is based in New York City, but this would be a remote position. Candidates living outside of the US will be hired as independent contractors through Deel. Heavy overlap with EST hours is required.
What You'll Do With Us
1. RFP Ownership
- Lead the end-to-end RFP response process, including project management, content collection, drafting, editing, and final submission.
- Partner closely with AEs, who will provide any required client clarifications, updates, or context.
- Coordinate inputs from teams including Product, Security / Compliance, Engineering, Customer Support, and Finance.
- Translate complex technical or compliance information into clear, client-friendly language.
- Maintain compliance with formatting, submission guidelines, deadlines, and required attachments.
- Ensure all responses reinforce Stadium’s differentiation and brand voice.
2. Content Library & Process Development
Build and maintain an RFP content library including technical answers, security statements, policies, case studies, product overviews, pricing frameworks, SLAs, and implementation documentation.Keep content updated as product features, compliance certifications, and company policies evolve.Scope an RFP automation tool (e.g., RFPIO / Responsive, DeepRFP, Loopio) to improve efficiency and set us up for a scalable repeatable workflow for RFP management.3. Cross-Functional Collaboration
Work with Product & Engineering to keep technical responses accurate and current.Partner with Security & Compliance to ensure answers align with SOC2, GDPR, data handling, privacy, and risk-mitigation standards.Collaborate with Sales & CSM to tailor responses to client use cases and industry verticals.Partner with Legal & Finance on contractual language, terms, insurance, pricing approvals, and vendor onboarding documentation.4. Additional Responsibilities
Proactively source upcoming RFPs and bid opportunities through platforms, procurement portals, and industry networks.Assist CSM team with renewal questionnaires or expansion RFPs.Contribute to creation of case studies, technical whitepapers, and documentation used in large enterprise deals.Support future RevOps team with pipeline visibility and reporting around RFP-driven opportunities.Requirements
3–6+ years of experience in RFP / proposal management, preferably in B2B SaaS or technology.Strong writing and editing skills with ability to simplify technical information.Experience managing large, complex RFPs with multiple stakeholders and liasoning with different teams to source information.Familiarity with security / compliance frameworks (SOC2, ISO, GDPR, DPA terms).Highly organized project manager with ability to juggle overlapping deadlines.Experience with RFP software (RFPIO, Loopio, Responsive, etc.) or willingness to learn.Strong attention to detail, fact-checking, and quality control.Preferred
Experience in RevOps, Sales Operations, Sales Engineering, or Customer Success.Ability to design and optimize scalable documentation workflows.Experience supporting enterprise sales cycles.Exposure to procurement processes and legal / contract language.Writing experience in technical, product marketing, or compliance areas.Benefits
