Role Summary

The IT Manager – Chief of Staff / OPEX Leader is a senior, highly trusted leadership role acting as the right hand to the Sr Director IT. This position combines strategic financial management, operational excellence, and organizational leadership. The role is accountable for end‑to‑end IT financial operations (OPEX & CAPEX), governance, communications, change management, and employee‑relations interfaces, while ensuring flawless execution of day‑to‑day operational activities.

This role integrates the combined scope, influence, and operating model demonstrated through collaboration patterns with senior operational and finance partners across the organization, and serves as a single point of orchestration for financial discipline, compliance, and excellence across the IT organization.

Key Accountabilities

1. Financial Management & OPEX Leadership (Top Priority)

  • Own and drive IT financial management across OPEX and CAPEX portfolios, ensuring transparency, accuracy, and predictability.
  • Lead annual budget planning, multi‑year financial outlooks, rolling forecasts, and monthly spend reviews.
  • Partner closely with Finance to ensure adherence to corporate financial policies and cadence.
  • Proactively identify cost optimization opportunities, efficiency levers, and investment trade‑offs.
  • Establish and maintain strong financial governance, variance analysis, and corrective action mechanisms.
  • Act as the primary IT liaison for audits, financial reviews, and leadership readouts.

2. Procurement Awareness & Financial Governance Interface

  • Maintain oversight and awareness of IT procurement activities on a need‑to‑know basis, ensuring financial alignment and compliance.
  • Partner with Strategic Sourcing and Procurement teams as required, without direct day‑to‑day ownership of procurement execution.
  • Provide guidance and financial context for contract reviews, renewals, and sourcing decisions when escalated.
  • Ensure procurement decisions align with approved budgets, financial forecasts, and governance standards.
  • Act as an escalation and advisory point for vendor financial topics rather than a daily operational owner.

3. Chief of Staff Responsibilities

  • Act as an extension of the IT leadership, ensuring priorities are translated into clear execution plans.
  • Maintain operational cadence including leadership meetings, business reviews, and executive communications.
  • Drive preparation of leadership materials, dashboards, and executive‑level storytelling.
  • Coordinate cross‑functional initiatives, dependencies, and follow‑ups to closure.

4. Operational Excellence & Compliance

  • Ensure team compliance with IT governance, financial, procurement, and operational processes.
  • Oversee operational hygiene including training compliance, mandatory certifications, and policy adherence.
  • Define, monitor, and continuously improve standard operational processes.
  • Track KPIs and operational metrics across financial, delivery, and compliance dimensions.

5. Change Management & Communications

  • Own IT change management discipline, ensuring clear communication, stakeholder alignment, and adoption.
  • Lead structured internal communications across IT and business stakeholders.
  • Support large transformation programs with strong change, readiness, and adoption frameworks.

Employee Relations & European Works Council Support

  • Partner with IT LER Business partner and Labor & Employee Relations (LER) on workforce‑related initiatives.
  • Support organizational changes, consultations, and workforce communications in compliance with labor frameworks.

YOU MUST HAVE

  • Bachelor’s degree in Business, Finance, IT, or a related field (or equivalent experience).
  • 5+ years of experience in IT operations, finance, OPEX leadership, or Chief of Staff roles.
  • Proven ownership of IT budget management including OPEX, CAPEX, forecasting, and spend governance.
  • Strong experience working with Finance, Procurement, and senior leadership teams.
  • Demonstrated ability to operate with high autonomy and discretion in a trusted leadership role.
  • Advanced analytical skills with strong financial acumen.
  • Excellent written and verbal communication skills at executive level.

WE VALUE

  • Prior experience as a Chief of Staff, IT OPEX Leader, or equivalent operational leadership role.
  • Strong background in procurement, sourcing, and vendor financial management.
  • Experience operating in large, global, matrixed enterprise environments.
  • Hands‑on experience with change management methodologies.
  • Exposure to European Works Council processes and employee relations frameworks.
  • German language proficiency (major advantage).
  • Ability to simplify complexity and drive disciplined execution.
  • High emotional intelligence and credibility when interfacing with senior leaders.
  • Continuous improvement mindset with strong bias for action.

OTHER

  • Travel approximately 10–15%.
  • This role requires high integrity, confidentiality, and trust.

This role is pivotal to the operational health, financial integrity, and execution discipline of the IT organization and is designed for a senior leader capable of balancing strategic influence with hands‑on operational ownership.
