Your team

You will be joining an agile team of 7 members. Our purpose is to facilitate and improve the administrative and operational activities that take place in our organization and ensure a positive experience in relation with colleagues partners clients and suppliers.

Responsabilities

• Streamline Communication: Represent the organization as the primary contact point for all stakeholders ensuring smooth interactions and timely responses.
• Efficient Query Resolution: Manage all incoming calls and correspondence ensuring queries from employees and vendors are addressed swiftly and effectively.
• Organizational Efficiency: Coordinate employee schedules and manage conference room bookings to ensure optimal resource allocation and reduced scheduling conflicts.
• Cross-Departmental Collaboration: Collaborate with Finance HR and Accounting teams to manage contracts employee benefits and recruitment processes.
• Enhance Positive Experience: Ensure high-quality customer service and support during events helping create positive interactions for both internal and external stakeholders.
• Office Management and Safety Compliance: Oversee office supply management travel arrangements and ensure compliance with health safety and security protocols.

Qualifications :

Must have:

• Excellent communication skills
• Proactive and positive attitude
• Constructive and solution-oriented mindset
• Good English knowledge
• Able to initiate and develop professional collaborations with members across the organization
• Regular use of AI tools to improve productivity automate or reduce repetitive work support decision-making and deliver higher-quality outcomes.
• Ability to use AI tools responsibly by structuring effective prompts critically validating outputs understanding limitations and taking ownership of the final result.

Willing to develop: German language skills
