Job Summary
We are seeking a meticulous and organized Document Controller to join our team. The successful candidate will be responsible for managing and overseeing the documentation process across various Common Data Environments (such as ASite and Autodesk Construction Cloud), ensuring that all project documents are accurate, up-to-date, and easily accessible.
Job Duties
As a Document Controller you will work with the AECOM Ireland Project Management and Building Surveying Teams, and you will have the following daily responsibilities :
- Day-to-day administration support to our PM and BS team;
- Manage and maintain all project documents, including drawings, specifications, and reports, on the Common Data Environment (CDE);
- Ensure that all documents are correctly named, filed, and stored in accordance with company standards and project requirements;
- Coordinate with project teams to ensure timely submission and approval of documents;
- Monitor document control processes and procedures to ensure compliance with project and company standards;
- Uploading drawings / document to the CDE;
- Extracting information from CDE and collation / preparation of monthly reports;
- Circulating weekly site inspection trackers regarding upcoming inspections;
- Provide training and support to project teams on document control produres and the use of the CDE;
- Conduct regular audits of the document control system to ensure accuracy and completeness;
- Generate reports on document status and progress as required;
- Assist in the preparation of project documentation for handover to clients;
- Have a key focus on reporting, analysing and communicating project activity;
- Implement and maintain processes and standards for consistency and drive project governance;
- Have thorough understanding of AECOM's relevant procedures and processes.
Qualifications
Minimum Qualification
Relevant educational qualifications or experience in the area of project; management / accounting / construction or similar with good analytical and numerical skills.Specific Skills Required
Strong communication, interpersonal skills and command of the English Language;Strong organizational and time-management skills;Strong interpretation skills and excellent attention to detail and accuracy;Strong financial, contractual, commercial, and communication skills;Ability to work independently and as part of a team;Strong computer skills and strong knowledge of Word, Excel, PowerPoint and other Office 365 tools is essential.Person Specification (Behavioral Attributes)
